Minutes of meeting – Tuesday 8th March 2016
At the Buccaneer

1. Approval of minutes of Committee Meeting of 8th February 2016. These were approved. (Helen, please place on website)
2. Matters arising: All covered, or will be discussed during course of this meeting.
3. Showtime Variety Show Review
Feedback had been positive, despite smaller audiences (total of 171 tickets sold). The total ticket revenue was £500 less than last year, but it was noted that without the decision to only have concession tickets for under 16’s (as opposed to pensioners as well) it would have been even lower. It was felt that later advertising and ticket sales might have had some impact on the numbers, and Jackie thanked Colin for his excellent last minute banners. The tables and chairs café concept was widely considered an attractive idea, combining a different approach with not indicating empty seats. As ever, the staging costs ate up the majority of the takings. Phil thanked Jackie for all her efforts and Frank reiterated the need to have faith in ourselves in future.
4. Potential Timetable for next 12 months
Frank produced an outline timetable for the next 12 months for discussion and to aid planning. (Attached).
AGM. After some discussion of suitable dates, it was agreed that the AGM should be held in April on Thursday 21st April 2016 at 1930 in St Anne’s Church Hall (if available). Post meeting note: Hall is available and has been booked. Frank asked for an indication of any committee members who were not standing again. April said she would not stand again. Frank would assemble the paperwork required. Public Advertisements would be needed a fortnight before the date.
There was discussion about Frank’s play “Trapped” (about the story of Rule and Bant) being performed as part of the festival. Plans for festival activities were coming along, and Frank was happy for it to be shifted either side of the main festival dates depending on the availability of the Buccaneer Studio (where it would be performed). This was the most important factor, rather than proximity to the Festival. Dates roughly aimed for were mid-July (main Festival day being Saturday 16th July).
In preparation for this, an Interpretation of Text workshop, followed by a rehearsed reading of “Trapped” would be held. Dates were discussed and Sunday 24th April was finally arrived at as a date suitable for the majority. Enquiries would be made about the availability of the Church Hall (problematic, being Sunday) and if not available, alternative venues would be sought. Post meeting Note: There was a Service in St Anne’s that day; Ross has booked the Public Hall for the same cost from 1030 – 1530.
Sue had volunteered to run the workshop, and would need an order of numbers for planning purposes.
This is now on the GLAD website for people to indicate their attendance. It was agreed to levy a minimum charge of say, £1 – 2 per head, which would cover the hall rental costs of £30.00. Possibility of bringing a shared lunch. In response to a query, Frank said the seminar/workshop was aimed at those interested in “serious”, ie, straight drama, as opposed to panto, variety or musicals.
5. Finance Update Jean reported the current balance was £2,339, taking into account all expenses (Anthony, School Hall, Church Hall, chairs, miscellaneous expenses, etc.) Total ticket sales amounted to £930.00.
There was some discussion on the need to have a concerted fund raising effort. The Raffle at the performances had raised £181, despite the smaller audiences. There are some prizes left over, which can form the basis of a summer raffle, perhaps on the Festival Day. Lesley would apply to Dorothy Kirk for a portion of her County Councillor’s Chest and look into the Co-op grant.
6. AOB:
It had been suggested that Committee meetings be held on an alternative weekday to Monday. Tuesdays were generally convenient, and if in rehearsal, meetings could be held earlier, before the start of rehearsal.
